Coventry Conference Centre Terms and Conditions

  1. The Premises

1.1 Coventry Conference Centre is available Monday to Friday 08.30-17.00. Special arrangements may be made for Events beginning or ending outside of these hours which may incur an additional charge.


1.2 The client shall comply with all health and safety and other statutory requirements relating to the use of Coventry Conference Centre.

1.3 The client shall not bring any dangerous or hazardous items to the Premises and remove any such items promptly when requested to do so by an employee or any other authorised

Person of the Coventry Conference Centre.


1.4 The client shall not act in any improper or disorderly manner and comply with the Coventry Conference Centre’s reasonable regulations and instructions in respect of its Premises.

1.5 The Client is responsible for ensuring reasonable and proper conduct by Participants. The

Client shall be liable for any damage to the premises or equipment that results

from the actions of the Client or the Participants.


  1. Delegates
    • At the time of booking the client shall advise the proposed number of delegates expected to attend the event.
    • Confirmation of attending number of delegates shall be required 7 calendar days before the event date.
  1. Booking

3.1 Once a quotation has been submitted to the client, the required date and room shall be reserved for 7 calendar days. After this time, the room shall be available for others to request a quotation.

3.2 If you wish to extend the reservation period please contact the company and request an updated quotation.

3.3 If you wish to extend your meeting time or overrun, Coventry Conference Centre cannot guarantee availability of the room, but will make every endeavour to meet your requirements. Additional charges will apply.

  1. Catering

4.1 Catering for the Event shall be provided or arranged by Coventry Conference Centre. The Client is not permitted to engage external caterers.


4.2 All dietary requirements shall be confirmed to Coventry Conference Centre at least 7 calendar days before the event. Any requirements submitted after this date may not be able to be met although Coventry Conference Centre shall endeavour to meet these needs.

  1. Payments and cancellation


5.1 Coventry Conference Centre will issue its invoice for the full Charges within 7 days after the Event has taken place. The Client will pay the invoice within 30 days of the date of the invoice.


5.2 Unless stated otherwise by Coventry Conference Centre, Value Added Tax will be added to all Charges.


5.3 Written acceptance via email of the quote shall be deemed as acceptance of the quote and these terms and conditions. Coventry Conference Centre shall confirm the reservation upon receipt of this acceptance.


5.4 In the event of the client cancelling and terminating the booking, a cancellation charge will apply, as a proportion of the Charges specified in the Quotation, on the following basis:
